Common questions

How do I manage the subscription?

You can manage your Screenful subscription at the Account Settings ➔ Billing tab in the settings. To access it, log in at https://screenful.com/login and select Plans & billing from the main menu:

On the Plans & Billing page, you can

  • Update your credit card information

  • Upgrade your plan

  • Download receipts of payments

  • Close your account

Notice that removing the Monday marketplace add-on from your board won't close your subscription! You'll have to close it separately by clicking Remove account:

That will remove your account and close the subscription.

When you close the subscription, you wll lose the access immediately. If you want to keep using until the end of the current paid period, you can remove the credit card in the subscription settings to avoid being charged again.

Can I use Screenful with Monday desktop app?

You can use Screenful with monday.com desktop app but you won't be able to import any data source because the authorization doesn't work in the desktop app. Therefore, when installing Screenful for the first time, you should not use the desktop app because setting up Screenful requires importing data sources. Therefore, you should do the initial setup using the monday.com web app. Once you've successfully imported the data sources, you can use Screenful with the monday.com desktop app for creating charts and reports.

Yes, you can use the formula column as a unit in the charts. All formula columns are automatically imported. What if I archive an item?

Archived tasks are treated differently depending on whether they are completed or not. Completed tasks are still considered completed even if they are archived. Tasks that are archived before they were completed are considered removed. Archiving a task doesn't affect its metrics collected before it was archived.

How does the workflow mapping work?

The workflow settings specify when the work is started on a task and when it's completed. It is used to calculate metrics such as work in progress and velocity, as well as to measure the lead and cycle time of tasks. The tasks in the workflow states mapped to excluded won't be imported to Screenful.

Will Screenful make changes to my data, or is my data affected in any way?

We do not make changes to your data. We only read it via the API of your tool. Screenful is only for reporting and analytics. It does not update any data within your tools.

What does Reaction time, Lead time, Cycle time mean?

What is the difference between these metrics?
Reaction time = time before the work was started
Cycle time = time from start to completion
Lead time = Reaction time + Cycle time

How is the reaction time calculated?
Reaction time starts running when a task is moved into a state that is mapped to the "Not started" in the workflow mapping. The reaction time stops when the task is moved out from that state. If the task is never placed into a state that is mapped to the “Not started” workflow state, then the reaction time is zero.

What if tasks skip lists/columns, or there is no sequential workflow?
The timing information is based on how long items stay in the workflow states that are mapped to "In progress" in the workflow mapping. There is no need for sequential progress, and it is totally fine if tasks skip some of the workflow steps.

You are not limited to any specific set of states or a workflow. You can configure your own workflow, if such exists, and you can use that in your reporting. It's also ok if you don't have any workflow in your boards, as can create reports based on any other criteria by setting a filter.

How often is data updated?

All data sources are synced automatically once per hour. Changing settings or configuration will trigger additional sync so your data is at most one hour old. You can sync data manually at any time in the sync settings.

Troubleshooting

I'm using Monday desktop app and I'm having issues with Screenful

Some features may not work when using Screenful in monday.com desktop app. You won't be able to import data sources because the authorization doesn't work in the desktop app. Also, some links in the UI may not be clickable when using the desktop app. When using Screenful, there are these alternatives to the monday.com desktop app.

  • Log in to the monday.com web app instead of the desktop app

  • Log in to Screenful directly at https://screenful.com/login

I have created automation to move items from one monday.com board to another. Will that mess up my stats?

If an item is moved from board A to board B, you will lose the data about the item movements in board A since the Monday API won’t return it anymore. To avoid losing data, consider these alternatives:

  • Add a delay before moving an item (see the guide for that). That leaves enough time for Screenful to register that the item was completed (sync runs once per hour)

  • Create a dedicated "Archived" group at the bottom of your board, and create an automation to move completed items to that group instead of another board.

If an item is moved from board A to board B, you will lose the data about the item movements in board A since the Monday API won’t return it anymore. To avoid losing data, consider these alternatives:

  • Under Chrome's Settings > Privacy > Content Settings, there is the cookie setting to "Block sites from setting any data". If you have it checked, uncheck it, or try with another browser.

  • Reinstall the Screenful add-on. Sometimes this allows Screenful to recover the lost connection to the Monday API.

  • Your workflow mapping is not done correctly. You can learn more about workflow mapping from this guide. Notice that the items in the statuses mapped to Excluded won't be imported to Screenful.

  • Some of your items are archived. Monday API doesn't return archived items. When you import a data source, archived items won't be included. However, the completed items you archive after that will be kept in the stats.

  • You have an automation that moves the completed items to another board. Screenful sync runs once per hour. If the item is moved immediately after it was completed, Screenful does not register that the item was completed. You should add at least 2 hours of delay before moving the item to another board.

  • Your board is not connected. If a data source is not connected, you'll see a red notification on the top right of the UI. Click the notification icon to re-authorize the data source.

I can't enable the Slack integration

While both the public and private channels are shown in the menu, you won’t receive the report to a private channel without explicitly adding the Screenful app to that channel. Learn how to enable sending to a private Slack channel.

There can also be restrictions on who can install apps to your Slack. Learn how to manage app approval in your Slack workspace.

Some browser plugins may interfere with the authorization process. If you see an empty page during the authorization or the list of channels is empty, you should try with another browser (or ask your colleague to do the Slack authorization).
