I get a message saying my storage is full. What can I do?

The internal storage for Power-Ups in Trello has a limited size and it can become full. Our Power-Ups use this storage to store the epic lists and done lists. To free up space in this storage, you can unselect any epic or done lists in the Power-Up settings on any board using this Power-Up.

The workflow settings specify when the work is started on a task and when it's completed. It is used to calculate metrics such as work in progress and velocity, as well as to measure the lead and cycle time of tasks. Will Screenful make changes to my data, or is my data affected in any way?

We do not make changes to your data. We only read it via the API of your tool. Screenful is only for reporting and analytics. It does not update any data within your tools.

What does Reaction time, Lead time, Cycle time mean?

What is the difference between these metrics?
Reaction time = time before the work was started
Cycle time = time from start to completion
Lead time = Reaction time + Cycle time

How is the reaction time calculated?
Reaction time starts running when a task is moved into a state that is mapped to the "Not started" in the workflow mapping. The reaction time stops when the task is moved out from that state. If the task is never placed into a state that is mapped to the “Not started” workflow state, then the reaction time is zero.

What if tasks skip lists/columns, or there is no sequential workflow?
The timing information is based on how long items stay in the workflow states that are mapped to "In progress" in the workflow mapping. There is no need for sequential progress, and it is totally fine if tasks skip some of the workflow steps.

What if a task is moved from the “not started” state directly to “done” without going through any of the “in progress” states?
In that case, the cycle time will be zero.

How does the cycle time work if a task is moved into "in progress" and then back to "not started yet"? Similarly, what happens if a card is archived while it's in progress?
Cycle time is calculated only for completed tasks, so in both of those cases, cycle time would be undefined.

What is the difference between these metrics?
Reaction time = time before the work was started
Cycle time = time from start to completion
Lead time = Reaction time + Cycle time

How is the reaction time calculated?
Reaction time starts running when a task is moved into a state that is mapped to the "Not started" in the workflow mapping. The reaction time stops when the task is moved out from that state. If the task is never placed into a state that is mapped to the “Not started” workflow state, then the reaction time is zero.

What if tasks skip lists/columns, or there is no sequential workflow?
The timing information is based on how long items stay in the workflow states that are mapped to "In progress" in the workflow mapping. There is no need for sequential progress, and it is totally fine if tasks skip some of the workflow steps.

What if a task is moved from the “not started” state directly to “done” without going through any of the “in progress” states?
In that case, the cycle time will be zero.

How does the cycle time work if a task is moved into "in progress" and then back to "not started yet"? Similarly, what happens if a card is archived while it's in progress?
Cycle time is calculated only for completed tasks, so in both of those cases, cycle time would be undefined.

If a task is moved from "in progress" to "done", but then back to "in progress" again for additional work would this time be added to the cycle time?
Cycle time is counted only when the task is in progress, so the time spent in the "done" state is not included in the calculation. 

When is a task created? Does the clock start when a task is created or when it is put in the "next" state (or equivalent)?
The clock starts when a task is moved to a workflow state that is mapped to the "not started" or "in progress" workflow state.

You are not limited to any specific set of states or a workflow. You can configure your own workflow, if such exists, and you can use that in your reporting. It's also ok if you don't have any workflow in your boards, as can create reports based on any other criteria by setting a filter.

All data sources are synced automatically once per hour. Changing settings or configuration will trigger additional sync so your data is at most one hour old. You can sync data manually at any time in the sync settings.

What if I archive an item?

Archived tasks are treated differently depending on whether they are completed or not. Completed tasks are still considered completed even if they are archived. Check your internet connection

The Power-Up needs an internet connection to work. If your connection is interrupted or slow, the Power-Up may appear to be working, but it may not be able to update data on your boards. The Power-Up may not recover automatically if you regain the connection after an interruption. Make sure you have a working internet connection.

What is a report?

A report consists of charts (up to 20 per report) and text commentary. It can be shared via a link or scheduled via email daily, weekly, or monthly to the selected recipients or a Slack channel. The data in a report is automatically synced once per hour.

Can I grant Screenful access only to specific data sources?

Will Screenful make any changes to my data, or is my data affected in any way?

We do not make changes to your data. We only read it via the API of your tool. Screenful is only for reporting and analytics. It does not update any data within your tools.

Some features may not work when using Screenful in monday.com desktop app. You won't be able to import data sources because the authorization doesn't work in the desktop app. Also, some links in the UI may not be clickable when using the desktop app. When using Screenful, there are these alternatives to the monday.com desktop app.

I have created automation to move items from one monday.com board to another. Will that mess up my stats?

If an item is moved from board A to board B, you will lose the data about the item movements in board A since the Monday API won’t return it anymore. To avoid losing data, consider these alternatives:

  • Add a delay of at least two hours before moving an item. That leaves enough time for Screenful to register that the item was completed (sync runs once per hour)

  • Create a dedicated "Archived" group at the bottom of your board, and create an automation to move completed items to that group instead of another board.

I have installed the Screenful add-on to my monday.com account, but all I see is an empty page. What can I do?

I’m unable to authorise Monday data sources

If you’re using the Monday IP restrictions feature it will block access to the monday API, which the Screenful connector needs in order to fetch data. To enable Screenful whitelist the IP address 34.251.47.98 and contact support@screenful.com so we can finalize the configuration.

Why I can’t see my Trello board when trying to create a new chart or dashboard?

You have to import the board as a data source first. If you don't see the board in the list of boards to import, you'll have to join that Trello board first to see it in the list. Once the board is imported, you can add it as a data source to charts.

Why are my charts not showing all the tasks I’ve assigned to my epics?

The most likely reason is that the chart does not have all the data sources included. If the tasks in your epics are scattered across multiple boards, all those boards must be added as data sources to the chart.
